The Spotlight Shifts from Signing to Workflow

Last week, I told you the signature was never really the point. Rocky the Raptor here again, RPost’s product evangelist, continuing our conversation about where eSignatures are heading. At the time, we were watching the market shift from simply capturing a signature to managing everything that happens around it. Well - the next chapter has arrived... 

Let’s break this into two threads. First, for the small business or end user who needs to get something signed, all they care about is ease of signing or filling the form fields and signing. RSign.com of course makes this a very easy guided process is here to stay.

However, for the company that is originating a workflow solution that requires a signature or form fill as part of the process, and then requires privacy, records management, renewal notices, etc. the process is becoming more integrated. Hence, for enterprise organizations, IDC is redefining the “market scape”.

IDC’s new MarketScape report on Worldwide Integrated Signing Workflow Software 2026 Vendor Assessment makes clear that for enterprise that subscribe to IDC, the business value the has moved well beyond the signature itself. Signing is increasingly just one stop in a much larger business journey - one that can begin before the document even exists and continue long after everyone has signed.

From my perch, there are several important trends every business leader should understand. 

The Workflow Has Become the Main Event 

First, the workflow now matters more than the signature. Businesses want forms created, parties onboarded, identities checked, documents reviewed, exceptions routed, approvals collected, records sealed, and resulting data pushed into the systems that run the business. Basic signing has become increasingly commonplace; the real differentiation is moving into everything surrounding it. 

Think about it this way - capturing the signature may take seconds. Everything required to safely get the right agreement in front of the right person, and then do something useful with it afterward, is where the real work happens! 

AI is Joining the Workflow 

AI is moving into the workflow. It can help prepare documents, extract information, identify missing information, route work, follow up with participants, and increasingly orchestrate multi-step processes. But there is a catch worthy of a raptor’s attention. Businesses also have to govern what AI agents are permitted to do, how their actions are recorded, what systems they can interact with, and how sensitive content is protected along the way. 

Once AI starts doing more than suggesting what happens next, and actually begins initiating actions, the agreement workflow becomes as much a governance question as an automation question. 

Security Can't Stop at “Sign” 

Security does not end when somebody clicks “Sign.” Agreements contain pricing, intellectual property, financial terms, personal information, acquisition plans, legal strategy, and other valuable content. Just signing the agreement doesn't suddenly make that information less sensitive. 

Modern workflow security increasingly has to follow the content beyond the signing platform, especially as documents move between companies, applications, people, devices, and now AI systems.
